I was invited to participate in a Webinar with Peter Walsh last week where he shares his latest organizational system available exclusively at Office Max. In case you’re not an avid Oprah watcher, here’s a little bit about Peter Walsh.
Peter Walsh is a nationally renowned organization expert and best-selling author known for his regular appearances on TLC’s Clean Sweep and The Oprah Winfrey Show, who is bringing his expertise to boost workplace organization with OfficeMax.
And here is what I received in the mail in preparation for the Webinar:

The [IN]PLACE™ System focuses mostly on paper organization “because it’s the tiger that gets out of control,” as Peter explains. I gladly accepted the invitation and the sample products that came along with it because I CLEARLY need help bringing order to my work space.

First Peter shows us to a sample of “office hell”. It looks much like mine. Hmmm…
The moment you let flat surfaces become cluttered in stuff, you lose the battle.
He mentions the post-it note frenzy. Hmmm, like this, perhaps?

He suggests a journal to keep notes and to do lists rather than allowing post-it notes to clutter the workspace. What a concept! And of course, he provides one.

Next, he addresses the importance of labeling.
If your file folders aren’t labeled, you’ve lost the battle straight away.
Hunh. File folders. What a concept.

Now he takes us to a sample of “office heaven” where everything is in perfect order. Ahhhh… Peace and tranquility abound! It’s exactly how I WANT my work space to be.
His key points are – visibility and accessibility.
VISIBILITY: He shows how his files are transparent so you can see what’s inside. His system gives you the ability to tag them with color-coded post it notes. Then there is a desktop sorter so you can see all your files and know what’s in them. I’m loving this! I can’t wait to set mine up.
ACCESSIBILITY: How do you find the files that you need? For the ones you don’t need as often, he shows a rolling file cart that can be put away when not in use. This is also great for people who may not have desk drawers. His hanging files lock together so nothing falls down between and you can lock together files for similar projects.
His advice for getting started:
Don’t go running out to buy a ton of stuff. You really need to first clear the clutter and sit and think about what you need to organize your life. Analyze your own problem and think of great solutions before you go out and buy stuff.
He suggests keeping work and home stuff separate.
Either color code it, or keep in separate systems.
Another great feature of the [IN]PLACE system is portability. Either from home to work, or within the home — perhaps from the kitchen table to a shelf for those who may not have a separate office.
He gives some tips for helping kids develop good organizational habits. According to Peter:
Kids need two things: limits and routine. Kids need to understand that they can’t own everything.
Amen to that! He suggests giving them a folder in which to store their stuff and teaching them filter through it occasionally. (This is how you set limits; they can’t keep everything.) When they come in with paper, show them how to file stuff immediately. (This teaches them a routine.) Teach them that paper has a home. I can’t wait to start this system with my own kids. My middle child, in particular, is queen pack rat.
He continues with his advice:
There’s no such thing as later (I’ll get to it later.) You have to maintain every day what you do. Bring in the mail, file it, put it in the file tray, deal with it, shred the junk straight away. The moment you start establishing a later file, it’s a slippery slope. Do it immediately. Model the behavior that you want for your kids.
Here’s another great piece of his advice that I’m trying to make part of my routine: Take 10 min at the end of the day to organize. He calls it the “best investment you can make in the following day.” He advises every six months to go through files and purge.
When you start organizing, ask yourself:
“What do you want from this space?”
“What is going to take place in this space? What are the zones?”
Create zones. Set limits. Cut down on stuff to fit in zones. Then look at things you need. “It doesn’t start with the product. It’s starts with the vision, the function, and the zones for the space.” I was typing as fast as I could, so forgive me if some of this sounds disjointed. But for the organizationally challenged like myself, I’m delighted with all of this practical advice!!

I have a few folders that I wanted more accessible sitting there. I plan to purchase the [IN]PLACE Desktop Sorter that will house those file folders on my desk top. Unfortunately that didn’t come in my box o’ goodies. In front of my files and books, you see my journal that is where I now keep all of my to-do lists and record keeping that used to sit on post-it notes all over my desk top.

What organizational challenges do I have? YES – ha,ha. Sheesh – I have a problem with stacks. There are stacks everywhere. I know it’s a problem ’cause I just spent a LOT of time digging for receipts/statements I needed to finish my taxes. If I had just put them in a folder labeled “Stuff I Need For Taxes” all year, I would have saved so much time. Time I could have spent eating chocolate.

My biggest challenge in terms of organization is that I don’t have a good filing system. So I have recipts and papers in drawers, in file folders, file holders and all over. I need to start a system that allows me ot file as I go.

my biggest challenge is trying to organize the contents of a 2500 sqft. house down to 1300 sqft. right now, i’ve got about 1200 sqft. still tucked in the garage. sometimes i get ruthlessly inspired and fill a green trash monster. usually if someone goes behind me to find something, the things i have sorted get fluffed up or something, the end result being i feel like i am back to square one.
i could totally use this type of system, at least in my dreams.
i have taken several carloads of books to the library and my friends know if they need something, they can casually mention it to me and i will have a load for them to take home, kind of like “garbage santa”.
i have discovered craigslist, but it’s still so slow and we are out in the boonies, so a garage sale is out of the question.
your pot has motivated me to go out the gaping maw known as my garage and try to find my office supplies and cobble something together. i have a slippery handle on the paper in the house but i could do a better job.
my blog looks better, but if i can get enough cash from craigslist, you will have to pimp me up!

Where am I NOT organizationally challenged. My biggest challenge seems to be finding a system that WORKS. I’ll spend a lot of time reorganizing only to find that a week later it’s a mess because I can’t find anything or remember where to put something.

My desk turns out to be the table in front of my sofa.(it was actually a two seater desk form an elementary school form the 50’s. Cute but… My laptop sits on a children’s chair to the left and I drag it to the table when I need it. My pencils are strung out everywhere and when I need to print something, I have to send it to my husband’s computer in his office. Check his inbox and print.Return to my school table desk and search through the folders shoved in the cubby holes meant for Dick and Jane books. Can you help? I LOVE Peter Walsh – he amazes me every time I see him on Oprah helping someone get out from under all of their clutter. My problem area is definitely my desk – papers are everywhere, the printer sits on my desk so papers are piled on top of it. Now that our house is on the market, I’ve had to put it all away. I had no system in place so now there are just folders and boxes stuffed with papers. I’d love Peter’s system to get off to the right start in our new house where I will have my own ‘office!’

I am constantly working on “new and improved” methods of taming the paper-tiger including getting rid of paper all together to not often enough marathon filing and trashing sessions. The last few years, while running 3 businesses from home have become the worst … and while I have not had any major mishaps because of confusion, there are certainly days that I regret not having a better system. Thanks for the info … and will be working on your new system.

This would be an AWESOME solution to my mess of an apartment! My big problem is that I don’t really have a desk. Ok, thats not entirely true – I have a desk, but it is so tiny, that I never keep my computer on it and just use it as a storage place for some school books and office supplies (but not all of them, because, obviously they don’t all fit there). I have a small one-bedroom apartment, and could really use some help figuring out an organizational system for all my important papers, bills, files, school work, etc that end up on my couch, on my dining room table, on my bookshelf or floor. This sounds like it could most definitely help….although building on an extra room might be more useful!

My biggest challenge is paper as well. My husband is self-employed and we have some rental property, add it all together and we have TONS of paperwork. I never know how to organize it all. I like some of the solutions you have presented! This organizational line seems really well thought out!

I said an ad in the May issue of Oprah (I was looking through it at work…filling in for someone so they could be with their kids on Easter) and saw the “stuff”. Went to OfficeMax site and they don’t have them on there yet, just that they are coming. So googled it and came to your site. And a delight it was. Really liked how you showed it in use.

My biggest organizational challenge is school- I’m a nursing student, which means paperwork on top of paperwork on top of paperwork. Right now it’s all sitting, completely disorganized, in a set of milk crates. When I need something from the pile, it’s total chaos to find it.

I seem to do my filing fine for awhile and then the “box” that I put everything in until it is filed starts to pile up. I am not sure why that happens. I also had to keep records for my dad (he died Oct.31). I also have to keep records for my son that has epilepsy and lives with us for now. There are papers everywhere!

I am organizationally challenged when it comes to paperwork. I feel like the rest of my house is neat and tidy (most of the time) but the paperwork is my proverbial ’skeleton in the closet’ literally, it’s in the closet, on my desk, stuffed in drawers and baskets. My biggest organizational challenge is too many systems all over the house. I need to combine all my paperwork to one area – I think this line of products might really help!

Oh my, where do I start with my organizational challenges! My first instinct is to go out and buy lots of org stuff, and I though that Peter’s reminder to sort thru your own stuff was very helpful. Also, teaching your kids to NOT be pack rats is a great idea. Thanks for this info!

Oh have mercy, could I use this. I suffer from a self proclaimed disease called “flatsurfacitis”! My desk is always cluttered with papers. Homeschooling adds a bunch to that. I need help!! Pick me! Pick me! LOL.

My son has 7 doctors he sees regularly and 4 therapists we see several times a month each. You really have no idea how much paperwork that creates until you see it. I really need a system!

i am an executive assistant for an ambassador to the united nations and my office has been out of control for YEARS.
i have been able to skate by, but now with a new ambassador arriving in may and with the economy, i really want to step up and make this office into what it needs to be.
i am fearful of losing my job for being so unorganized, when it is MY job to BE ORGANIZED.
i am a 2nd generation paper clutter-bug, and i feel i need to lasso this in PRONTO, especially with a 40th birthday looming in the near future.
my home also has a huge paper-clutter situation.
i tried to order the in place system on office max just now (got the ad out of may’s real simple magazine, but it’s not available yet.
I NEEEEEEEED THIS SYSTEM TO HELP CHANGE MY LIFE!
i don’t want my daughter to be a 3rd generational c.b.

My biggest challenge these days is my laundry room. It is families ‘dumping’ ground. They come in and all their stuff goes in that room. All over the place. Drives me nuts.
I could always use some help in the office. I would love to win the package to give it a try. It would sure beat my old hanging file folders. You know, the ugly green one’s.

My organizational challenge is that I can’t keep up with myself. I’m fairly organized but when I get a good system going, it overtakes me and I have to come up with a new system to manage the old system. HELP!!

I don’t know where to start! Clutter has a tendency to creep in and control my life. I hate it!! Like previous people have said, it’s nice to have things “handy” but then you need to have so MANY things handy that it just leads to…. clutter!!! I seriously need help keeping all my lists in one place. Shopping, menus, to-dos, etc.

I could totally use some more organization. I have a desk with my pc and a bar thing where the laptop sits…both need a total makeover. I love neat, clean and organized. Unfortunately I usually just get the effect of a tornado…

Organization skills? What are those? lol I run my print business from home. We have a 2nd bedroom that acts as my office/guest room. Being that I sell printed Items I have tons and tons of paper all over! I have little shelves that I plan to keep myself organized but I stink at it. I have stacks of papers all over my desk. My organization is that if I can see it then I won’t forget to do it…this leaves a huge mess. I wish I could keep things more organized. The posted system looks amazing! I’d love to give it a try!

Right now my desktop looks amazing because I just had new computer installed yesterday. All accompanying ’stuff’ is lurking in bedroom waiting to make a comeback on my desk. I don’t want to go back there! I will be purging stuff before I restock the desk. I’ll need to purchase some of the things recommended in the article. I want order in my life. Your ‘before’ photo looks like my old desktop on a good day… ay yi yi. Thanks for the helpful hints. I know I’m a day late but what the heck.. just got this info from bro today. I think he wants to win this and not me…sibling rivalry goes on forever!

I work out of a home office and travel…my problem is I find what I need is in the location where I’m not. I saw this in MS Living and it looks pretty wonderful. I could create a grab-n-go portable file!

My desk is pretty tiny, crowded with my laptop and printer. My papers just end up stacked on my printer and on the floor till I can find the time or organize them into subjects, then the stacks of subjects just end up stacked again because I have nowhere to put them. Agh!
